JOB OVERVIEW:

The Documentation Specialist is responsible for analyzing business needs, mapping business processes and workflows, documenting procedures, presenting new process designs to stakeholders, and monitoring process performance. This individual will partner with leadership and subject matter experts to analyze current business processes with the objective of identifying areas for process improvement and/or optimization.  

ROLES AND RESPONSIBILITIES:

Technical Writing/Documentation

  • Develop the structure for the process documentation initiative including; release process, standardized templates and documentation standards
  • Collaborate with department leaders to create, edit and maintain all policies, procedures and job aids
  • Document business processes using visual diagrams (i.e. flowcharts)
  • Create applicable process forms and develop training material to support documented processes

Project Management/Business Process Support

  • Collaborate with department leaders and various cross functional team members to gather all information to facilitate clearly articulated process documents
  • Set expectations for each key project milestone and then manage the business stakeholders and the project team to meet those expectations
  • Interview process participants to understand their role in the process and collect feedback
  • Analyze business processes to identify areas for improvement
  • Monitor, measure and providing feedback on process performance and implement audit component to ensure process in functioning as documented
  • Serve as a subject matter expert for all assigned processes and maintain a working knowledge of company policies and procedures
  • Provide post implementation support

TECHNICAL COMPETENCIES (Knowledge, Skills & Abilities):

  • Advanced skills in Microsoft Office Suite (Word, Excel, PowerPoint, Visio)
  • Advanced written and verbal communication skills
  • Ability to conceptualize, develop and implement new processes and improve existing processes
  • Strong organizational skills and the ability to prioritize multiple tasks
  • Comfortable enforcing project deadlines within all levels of the organization
  • Ability to manage various projects, multi-task and assign tasks when required
  • Ability to work independently and rapidly adapt and respond to priority changes based on business needs
  • Ability to maintain professional customer relations and to deal responsively with management and peers

EDUCATION AND EXPERIENCE:

  • Bachelor’s Degree
  • 3-5 years of experience in technical writing, documentation support or process focused role
  • Lean/Six Sigma Certification preferred
  • Project Management experience preferred
